A laundry sells trust before it sells cleaning: a customer hands over their clothes and expects the same clothes back, clean and on time.

Any laundry software in Saudi Arabia should be judged on whether it protects that trust: an order number on the receipt, a garment count recorded in front of the customer, a clear status for every order, and deliveries where no address gets lost. This guide covers what your laundry needs from a system, what e-invoicing means for its invoices, and how to test a system before you buy.

What does an order's path from intake to delivery look like?

Five stations of a laundry order: intake, sorting and washing, pressing and packing, ready, hand-over
A record at every station answers "where is my thobe?"

An order passes five stations, and the system should keep a record at each. If the record breaks at one station, you find out when a customer asks "where is my thobe?" and you have no answer.

StationWhat must be recorded
IntakeOrder number, customer name and mobile, garment count and type, the service requested (wash, press or dry-clean), and condition notes such as a stain or a missing button
Sorting and washingThat the order entered production, and where the garments are if they go to a central plant
Pressing and packingThe count checked against what was received before packing
ReadyThe ready time, a list of ready and uncollected orders, and a way to tell the customer
DeliveryWho collected and when, whether they paid, and whether their account carries a balance

Ask yourself: at which station do most of your mistakes happen today? It is usually intake (an undocumented count) or hand-over (a lost receipt). Choose the software that fixes your weakest point first.

How do you prevent lost items and "that isn't my garment" disputes?

Table of records to keep at intake and hand-over to settle laundry disputes early
Each record is checked again at the next station, so a gap shows at once.

By documenting intake in front of the customer: a unique order number, the garment count by type, condition notes at the time of receipt, then checking the count at packing and again at hand-over. If the count differs at any point, the gap shows immediately, not a week later.

These details make the difference in a dispute:

  • The order number on the receipt and on the garments: a tag or sticker carrying the order number for each piece or bag. Ask the vendor whether it prints barcodes or labels, and whether it scans the order number at hand-over.
  • Condition at intake: a stain, a tear, a faded colour or a missing button. Noted in front of the customer, it prevents arguments after washing.
  • Counts by type: "5 items" isn't enough; "3 thobes and 2 ghutras" protects both sides.
  • An uncollected-items policy: after how many days do you call the customer, and how long do you hold the garments? The system should show ready, uncollected orders and their age.
  • An activity log: who entered the order and who handed it over, so you know whom to ask.

How should services be priced: by item, by kilo or by urgency?

Price them the way you really sell, and don't bend your business to the system's model. Some laundries price by garment and service (a thobe pressed, a thobe washed and pressed, a suit dry-cleaned), some by the kilo for household and bed linen, and many mix both with a surcharge for express.

Ask the vendor to build in front of you:

  1. A price list by garment and service, with a different price for same-day express.
  2. A price per kilo with a minimum order.
  3. A package or discount for a regular customer without hand-editing the invoice.
  4. A discount permission: who may give one?

What do pickup and delivery need from the software?

If your laundry collects clothes from homes and returns them, the software must hold the customer's address, the pickup location and time window, and a driver responsible for each trip. You also need a separate list for delivery orders so they don't mix with counter orders.

  • The customer's address and a location description, and a pickup window (morning or evening).
  • A driver assigned to each order, and a list of the day's trips.
  • Payment collected on delivery, with a record of who collected it and handed it to the till.
  • A failed-delivery status: the customer isn't in, so what happens to the order and when is it retried?
  • A ready-made WhatsApp message to the customer when the order is ready, instead of calling each one.

We built a delivery system for Al Hamdan, with customer and driver apps on Android and iOS and an admin dashboard, so the questions about drivers, addresses and tracking are familiar to us. We quote no results here. If you need a custom app for your customers, see our mobile app development service.

How do you manage subscriptions and credit accounts?

You need an account for each regular customer showing their balance and unpaid orders, and the option of a prepaid subscription (a value or item-count package). For businesses you serve monthly, such as hotels, clinics and restaurants, you need a statement and tax invoices in their names.

A prepaid subscription needs special care in invoicing. According to ZATCA's Detailed Guidelines for E-Invoicing, receiving an advance payment for taxable supplies requires a tax invoice, and later invoices can deduct the prepaid amount. So ask the vendor: how does your system treat a package top-up, and the later use of it? And check with your accountant how it is booked.

Do you need drop-off branches and a central plant?

Many laundries take in garments at several small branches and wash them at one plant. In that model an order moves between two places, which is where most mistakes come from: a bag arrives at the plant short, or a ready order comes back and the branch doesn't know.

Ask the vendor at least two things: does the system record the order leaving the branch, the plant receiving it with a garment count, and its return to the branch? And can a branch manager see only their own orders while the owner sees all of them? If you run one branch today and plan another, choose a system that won't force a rebuild at the second.

What does e-invoicing require of a laundry?

Most laundry invoices go to individuals, so they are simplified tax invoices: the system stamps them, hands them over for any amount, then reports them to Fatoora within 24 hours, with a QR code, as the guideline describes. Invoices to hotels, clinics and companies are tax invoices, sent to the platform for real-time clearance before the buyer receives them.

These points are specific to your trade:

  • Decide with your accountant when the invoice is issued: at intake, at payment or at delivery? Then make the system follow that every time, with no improvising by staff.
  • An issued invoice can't be deleted or edited. Refunds or corrections go through a credit note, so ask how the system handles an order cancelled, or a price corrected, after issue.
  • Every invoicing device is onboarded: the branch till, and a driver's device if it issues an invoice at collection.
  • Internet outages: the guideline allows invoices to be saved offline and reported within 24 hours, so ask whether the software keeps working in a small branch with a weak connection.

On 24 July 2026 ZATCA announced that Wave 25 covers anyone whose VAT-able revenue passed SAR 187,500 in 2022, 2023, 2024 or 2025, with integration by 1 February 2027 at the latest, per its announcement. How do you test laundry software before buying?

Ask for a trial with a real order of yours, not a canned story. These steps show in half an hour what a long presentation won't:

  1. Enter an order of seven items of three types with different services, add a condition note to two of them, and print the receipt.
  2. Find the order by its number and by the customer's mobile.
  3. Mark it ready and look at the ready, uncollected list.
  4. Hand over half the order only, and see how the rest appears.
  5. Create a delivery order with an address and driver, then close it with payment collected.
  6. Top up a customer's subscription, use some of it on an order, and read the invoice.
  7. Issue an invoice to an individual, then to a business with its VAT number, then cancel an order after issue.
  8. Get the status of the Fatoora integration in writing: live today, in testing, or scheduled?

And ask for an offer by line: subscription, hardware (receipt printer, label printer, barcode scanner, cash drawer), installation and training, e-invoicing updates, support, and exporting your data. If your laundry depends on local walk-ins, our guide to getting on Google Maps in Riyadh helps new customers find you.

Where does Manzomia fit in this list?

Manzomia is our Arabic cloud system from Manzomia Digital Solutions: its point of sale is live today and more modules are launching soon, while Fatoora integration is "coming soon". Tell us your mandated date, your daily order volume and whether you deliver, and we'll say honestly whether it suits you. The sector page is here: Laundries and Dry Cleaners. For other sectors, read our guides to a restaurant and café POS and a POS for paint and hardware stores.

What should you do next?

Before any call, write down your daily order count, the average garments per order, whether you offer delivery, how many branches and invoicing devices you will have, and your integration date. With those numbers, a demo fits your laundry instead of a generic one.
